Managing Your ASHA Learning Pass Subscription

Understanding and managing your ASHA Learning Pass subscription is crucial to maximizing its benefits. The process differs slightly depending on whether you are an individual subscriber or part of a group subscription.

For Individual Learning Pass Subscribers

If you purchased your Learning Pass directly, the “Manage My ASHA Learning Pass” page within your ASHA account is your central hub for subscription management. This page provides you with essential control and information regarding your subscription.

At any time, you can access this page to:

  • View Subscription Dates: Clearly see your subscription start and end dates. Individual Learning Pass subscriptions are valid for one year, commencing on the date of purchase.
  • Update Payment Information: Easily edit or update your payment card details to ensure uninterrupted access to your Learning Pass.
  • Manage Auto-Renewal: Choose to enable or disable auto-renewal based on your preferences. Auto-renewal ensures continuous access to the Learning Pass without service interruption.
  • Cancel Subscription: If needed, you have the option to cancel your subscription. The cancellation link is located at the bottom of the page. Upon cancellation, auto-renewal is deactivated, and no further payments will be processed. You can continue to enjoy the benefits of the Learning Pass for the remainder of your paid access period. Importantly, all completed courses and earned certificates will remain accessible in your ASHA Learning Center account even after your Learning Pass access concludes.

To navigate to your “Manage My ASHA Learning Pass” page, simply log in to your ASHA account and locate the “ASHA Learning Pass” header. Underneath this header, click on the “Manage My ASHA Learning Pass” link.

If your subscription lapses and you decide to rejoin later, renewing your access is simple. Just purchase a new subscription to regain immediate access to the Learning Pass and its extensive learning resources.

For Group Learning Pass Subscribers

Group ASHA Learning Pass subscriptions also run for a year, starting from the purchase date. If your Learning Pass is part of a group subscription, your group leader (the individual who purchased the subscription for the group) is your point of contact for subscription-related information.

Contact your group leader to:

  • Receive Enrollment Link: Obtain the unique enrollment link necessary to activate your Learning Pass within the group subscription.
  • Inquire About Expiration Date: Confirm the expiration date of your group subscription. Group subscriptions do not automatically renew. Therefore, check with your group leader regarding potential renewal plans for continued access.

Information for Group Subscription Purchasers and Administrators

For those responsible for managing group ASHA Learning Pass subscriptions, specific administrative tools and procedures are in place to facilitate smooth enrollment and management.

Enrolling Your Group Members

Upon completing the purchase of a group subscription, you, as the administrator, will receive an essential email containing the enrollment link. This email will have the subject line “Important Link for Group Leaders” from [email protected] OR “ASHA Learning Pass Activation” from [email protected]. It’s advisable to check your spam or junk folder if you don’t see it in your inbox.

The email contains the crucial “Auto-Enroll Link,” a complete URL that you need to distribute to your group members. Copy this entire URL and send it to each member of your group.

If you are unable to locate the email, you can still access the enrollment link through the ASHA Learning Center admin portal. Log in to the ASHA Learning Center and navigate to the “Admin” tab. Locate the row labeled “ASHA Learning Pass Subscription” and click the “Edit” link. Within the “General” tab, you will find the “Auto-Enroll URL.” Copy this complete URL and distribute it to your group members. Avoid making any other changes within the Admin area.

It’s important to instruct each group member to click on the auto-enroll link and then the “Start Course” link within 14 days of purchase to successfully activate their ASHA Learning Pass.

If you, as the group administrator, intend to use one of the subscriptions for yourself, you must also click on the auto-enroll link and then the “Start Course” link to activate your own Learning Pass within the 14-day window. If you do not plan to use a subscription personally, refrain from clicking the auto-enroll link. Clicking it will assign a subscription to you, potentially preventing one of your intended group members from unlocking their access.

To monitor the enrollment status of your group members, log in to the ASHA Learning Center and go to the “Admin” tab. Find the “ASHA Learning Pass Subscription” row and click “Edit.” Navigate to the “Products” tab. Under “Enrollment,” you’ll see two numbers. The first number indicates the number of members who have successfully activated their subscription by clicking the auto-enroll link. The second number represents the total number of subscriptions purchased for the group. To view the names of enrolled members, click on the first number under “Enrollment.” Again, refrain from making any changes within this Admin area and do not use the “Enroll New Learner” function. Always use the self-enrollment link method described above for group member enrollment.

Renewing Group Subscriptions

To determine your group subscription’s expiration date, log in to the ASHA Learning Center and access the “Admin” tab. Find the row labeled “ASHA Learning Pass Subscription.” The “Creation Date” displayed is the purchase date and the activation date of the group Learning Pass. Group subscriptions are active for one year from this creation date. For example, a Creation Date of 11/30/23 indicates an expiration date of 11/30/24.

All subscriptions conclude one year from the purchase date and are non-transferable and non-refundable once activated. Upon renewal, you have the flexibility to adjust group membership, adding or removing members as needed.

For renewing groups of 2–20 subscriptions, contact customer service at 888-498-6699. For larger groups of 21 or more subscriptions, call 301-296-5620 or email [email protected]. Upon renewal, you will receive a new enrollment link to distribute to your group members, which may be the same or different individuals from the previous subscription period.

Modifying Group Subscriptions

If you need to change the designated group leader or administrator for your group subscription, contact ASHA customer service at [email protected] or 800-498-2071, ext. 8593. Please have your invoice number readily available to facilitate the process.

Adding subscriptions to an existing group is possible at any time. These additional subscriptions will expire on the same date as the original group subscriptions, and prices cannot be prorated. Ensure you have your original invoice number available when contacting customer service.

Individual ASHA Learning Pass subscribers enjoy an exclusive benefit: a discount on ASHA online conferences. To utilize this discount, simply add your desired online conference to your cart in the ASHA Store. Ensure you are logged into your ASHA account, and the system will automatically recognize your Learning Pass subscriber status and apply the discount.

Group Learning Pass members are not eligible for individual online conference discounts, as the group subscription pricing already reflects a discounted rate. However, ASHA offers separate discounted group rates for online conference registration for groups of 4 or more, irrespective of Learning Pass subscriptions.
