Joining Teams Meetings on Desktop

Microsoft Teams offers several convenient ways to join meetings from your desktop. Below are the most common methods:

Join by Link

The simplest way to join a Teams meeting is by using the meeting link provided in the invitation.

  1. In your meeting invite, click on Join the meeting now. This will open Teams in your web browser or desktop app, depending on your settings.

    If you don’t have the Teams app installed, it will open in Teams for web.

  2. If you already have the Teams app, the meeting will automatically open there.

  3. Joining as a Guest: If you don’t have a Teams account and the meeting organizer allows guest access, you can enter your name to join.

  4. Joining with a Teams Account: If you have a Teams account, select Sign in to access meeting chat and other features. You might join directly or enter a lobby until admitted by the organizer.

Join a Meeting Organized by a Teams Personal Account User

You can seamlessly join meetings organized by users with Teams personal accounts using your Teams work or school account.

  1. In Teams, navigate to Calendar to view your scheduled meetings.

  2. Locate the meeting you wish to join and click Join.

    You don’t need to switch between Teams personal and work/school accounts to join these meetings. Your data privacy in these meetings is governed by the Microsoft Privacy Statement.

Join from Calendar or ID

Joining from your Teams calendar is another straightforward method.

  1. Click on Calendar on the left side of Teams.
  2. Find the meeting in your schedule and click Join.

Join with a Meeting ID

If you have a meeting ID and passcode, you can join directly.

  1. Go to Calendar in Teams.
  2. Select Join with an ID.
  3. Enter the Meeting ID and Passcode. You can find these details in:
    • The meeting details in your Teams calendar (Details > Show meeting info).
    • At the bottom of your Teams meeting invitation email.
  4. Click Join meeting to enter as a participant.

Join in a Channel

Meetings scheduled within a channel are easily accessible directly from the channel itself.

If a meeting is happening in a channel, you’ll see an invitation with a Join button, related content, and participants listed within the channel conversation.

Simply click Join to enter the meeting.

Join from Chat

For instant meetings or meetings you’ve had in a group chat, you can join directly from the chat window.

  1. Open the group chat where the instant meeting is happening or was scheduled.

  2. At the top of the chat, click Meet now to start an instant meeting, or click Join if a meeting is already in progress.

    • A live indicator in the chat list shows when a meeting has started in a group chat.
    • Click Join in the chat to enter the active meeting.
  3. To see participants, click the live indicator at the top of the group chat.

  4. To notify others in the chat about the instant meeting, click Ring others.

Call In

In situations where using the Teams app or web version isn’t possible, you can join some meetings via phone.

If the meeting invite includes a phone number and conference ID, you can dial in.

  1. Dial the phone number provided in the meeting invite.
  2. Enter the conference ID when prompted.

If you are the meeting organizer and calling in, you’ll need your dial-in PIN.

Join Anonymously or from a Different Account

Teams allows you to join meetings without signing in or by switching to a different account.

To join with a different account:

  1. In your Teams calendar, select the meeting.

  2. Click Join.

  3. On the pre-join screen, click Change at the top.

  4. Select the account you want to use.

    • If your desired account isn’t listed, click Add another account to add an existing one or create a new account.
  5. Click Join to enter the meeting.

To join anonymously:

  1. Select the meeting in your Teams calendar.
  2. Click Join.
  3. On the pre-join screen, click Change.
  4. Select Join without signing in.
  5. Enter your name at the top of the screen.
  6. Click Join to enter the meeting.

Connect to a Room While You Join

  1. Join your meeting. Before fully entering, wait for nearby rooms to be detected.

    Important: Ensure Bluetooth is enabled on your device for room detection.

  2. Click Room audio and select the desired room.

Note: When joining from a mobile device, your screen will remain active while the meeting window is open. Turning off your screen will lock your device but maintain your meeting connection.

Join by Link

Similar to desktop, joining via a meeting link is the most direct method on mobile.

  1. Tap Join the meeting now in your meeting invite. This will open the Teams app and directly join you to the meeting.
  2. If you don’t have the app installed, you’ll be redirected to the app store to download it.

Note: It’s recommended to download the Teams app prior to your meeting for a smoother joining experience.

If you already have Teams installed:

  • Joining as a Guest: If you lack a Teams account, tap Join as a guest and enter your name.
  • Joining with a Teams Account: Tap Sign in to join with your account and access full meeting features.

Join a Meeting Organized by a Teams Personal Account User (Mobile)

Joining meetings from Teams personal account users is also seamless on mobile.

  1. In the Teams app, tap Calendar to view your meetings.

  2. Find the meeting and tap Join.

    Just like on desktop, no account switching is needed. Data privacy is managed by the Microsoft Privacy Statement.

Join from Calendar (Mobile)

Joining from the calendar in the Teams mobile app is quick and easy.

  1. Tap Calendar ​​​​​​​ .
  2. Tap on the meeting you plan to join.
  3. Tap Join.

Join with a Meeting ID (Mobile)

You can also join using a meeting ID on the mobile app.

  1. Tap Calendar.
  2. Tap More > Join with meeting ID.
  3. Enter the Meeting ID and Passcode. Find these details:
    • In your Teams calendar meeting details (Details > See more).
    • At the bottom of your meeting invite email.
  4. Tap Join meeting.

Join from a Notification

Teams mobile app notifications make joining meetings incredibly convenient.

Join in a Channel (Mobile)

Channel meetings are also accessible on mobile directly from the channel.

Similar to desktop, channel meetings show an invitation with a Join button, relevant content, and the organizer within the channel. Tap Join to enter.

Join from Chat (Mobile)

For ongoing or past meeting chats, joining is simple from the chat list.

If a meeting or its chat is active or recent, it will appear in your chat list. Open the chat and tap Join at the top to enter the meeting.

Dial In (Mobile)

For audio-only participation when the app is not feasible, dial-in is available for some meetings.

If a phone number is included in the meeting invite:

  1. Tap the phone number to dial and automatically enter the conference ID.
  2. Once connected, you may need to dial 1 to join the meeting.

Join Anonymously or from a Different Account (Mobile)

Mobile Teams also allows joining anonymously or switching accounts on the pre-join screen.

To switch accounts:

  1. Tap the meeting in your Teams calendar.
  2. Tap Join.
  3. Below your video preview, check the signed-in account.
  4. Tap Switch to change accounts.
  5. Select an account under Signed in accounts or tap Use another account.
  6. Tap Join now.

To join anonymously:

  1. Tap a meeting in your Teams calendar.
  2. Tap Join.
  3. Tap Switch > Join without signing in.
  4. Enter your name.
  5. Tap Join now.

Join on Multiple Devices

Enhance collaboration by joining a meeting on multiple devices simultaneously.

For example, use your laptop for primary participation and your phone for live video sharing or presentation control.

  1. Join the meeting on your primary device first.
  2. Open the Teams app on your mobile device, ensuring both are logged into the same Teams account.
  3. A notification appears at the top of your mobile screen: Join the meeting on this device.
  4. Tap Join the meeting on this device to add your mobile device to the meeting.

Join with Apple CarPlay

For safe meeting access while driving, use Apple CarPlay to dial into scheduled meetings.

Requirements for CarPlay with Teams:

  • CarPlay-compatible vehicle
  • iPhone
  • Teams mobile app for iOS (version Aug. 31, 2021, or later)

To join via CarPlay:

  1. Connect your iPhone to your vehicle via Bluetooth or USB.

  2. Tap Teams to activate Siri.

  3. Use Siri voice commands like “Call next meeting using Teams.”

    Note: If Siri commands fail, confirm with your IT admin that CarPlay is allowed with Teams.

  4. Use meeting controls on your car’s display.

Tips for CarPlay:

  • Join meetings 15 minutes early or up to 5 minutes late.
  • For conflicting meetings, Teams joins the earliest one or alphabetically first if start times are the same.
  • Calendar updates require the app to be open. Recent invites might not immediately show.
  • Only Teams audio is supported.
  • Your microphone is muted upon joining.
